Collection Notice

This notice explains how we handle your personal information when you enrol in, or use, an AI Unlocked for Doctors and Medical Practices Offering. Our Privacy Policy on our website has more detail.

Who collects your information

AI Institute is a program and brand operated by Ulleo Holdings Pty Ltd ABN 84 661 335 173 ("we", "us" and "our"). We collect your personal information as the supplier of the Offering. Australian Doctor Group (AusDoc) is the Program's Distribution Partner and the accredited provider for its RACGP-accredited activities.

What we collect

Depending on how you deal with us, we may collect:

• your name and contact details;
• your practice, role and professional details, including your RACGP member number if you want your CPD reported;
• purchase and payment details;
• your learning activity, such as attendance, submitted assessments, completion and CPD records;
• bookings, intake forms and reports for one-to-one services;
• questions and comments you post in a Session, which may appear in the recording;
• your messages to us; and
• website and campaign information, such as device details, cookies and promotion codes.

Card payments are handled by Stripe, and we don't store your card number. If you pay with a buy-now-pay-later option, that provider handles your information under its own terms and privacy policy.

We collect your RACGP member number only with your consent, because it is sensitive information under the Privacy Act.

Please don't share patient information with us, including in Sessions or one-to-one services.

Where it comes from

We collect most information directly from you. We may also receive your name, work email and role from a practice that buys a seat for you, campaign details from AusDoc, your CPD record from the accredited provider, and your one-to-one report from a panel consultant.

Why we use it

We use your information to process your enrolment and payment, deliver Sessions and recordings, record your completion and report your CPD, arrange one-to-one services, keep you informed, handle questions and complaints, prevent fraud and meet our legal obligations. We also use it to improve our programs, to work out which campaigns led to enrolments, to promote our programs using Session clips with names and identifying details removed, and to send you marketing where you have agreed or the law allows.

Who we share it with

• AusDoc, as Distribution Partner: your name, email address and phone number, only to confirm whether its promotion led to your purchase, to stop it marketing that Offering to you, and to settle our arrangements with it. It may not use this information for its own marketing.
• AusDoc, as accredited provider, and the RACGP: with your consent, your name, email address, RACGP member number, the activities you complete and the completion dates, and, where the activity requires it, your submitted assessment, so your CPD can be reported. They may use this only to administer, report and audit your CPD, and not for marketing.
• A panel consultant: if you book a one-to-one service, your name, email address, practice and intake form.
• Facilitators and presenters: the questions and comments you post in a Session and your submitted assessments, only to deliver the Offering.
• A practice or employer that paid for your seat: whether you activated and completed the Offering, but not your assessment answers or results.
• Other participants: anything you choose to share in a Session, chat or forum.
• Our service providers, such as our learning, video, website, payment, email and support systems, and others where the law requires or allows it. We do not sell personal information.

Some of our service providers, such as our email, payment and video providers, may store or access your information outside Australia, including in countries like the United States.

If you don't provide it

If you don't give us your contact and payment details, we can't enrol you. If you don't give your RACGP member number and consent, your CPD may not be reported automatically and you may not receive a statement of completion. You don't have to agree to marketing, and you can unsubscribe at any time.
